Administrative Assistant - Whitecourt
Description

The Administrative Assistant provides payroll, accounting, and administrative support to the branch.

Responsibilities
  • Answers, screens and directs phone calls for the branch.
  • Sorts, opens and distributes incoming mail, faxes and posts outgoing mail.
  • Sends packages on a scheduled and as-required basis.
  • Manages documentation requirements for the branch.
  • Responds to internal and external inquiries in a professional manner.
  • May perform accounts payable functions for the branch.
  • Assists with accruals, job costing, stock transfers and purchase order (PO) activities.
  • Assists with tracking backorders and credits with suppliers.
  • Performs data entry into industry specific software.
  • May conducts payroll entry and time management for the assigned branch.
  • Assists with completing month end.
  • Maintains job cost folders as well as manual and electronic filing systems.
  • Books meeting rooms, ensures catering needs are met and records meeting minutes.
  • Assists in project administration duties such as fabricating project binders and documentation.
  • Assists with maintaining branch records and compiling reports using the industry specific software and excel spreadsheets.
  • Composes routine correspondence.
  • Completing general administrative duties as required.
Qualifications
  • Customer service oriented.
  • Professional appearance, communication, and demeanor at all times.
  • 1-3 years’ experience in a reception or administrative position.
  • Previous experience in Account Payable, Accounts Receivable and general accounting preferred.
  • Proficiency in Microsoft Office is required.
  • Team player with strong communication and organizational skills, and the demonstrated ability to meet deadlines.
  • Ability to work in fast paced environment with the ability to multi-task, and effectively manage competing priorities.
  • Certificate or Diploma in Business Administration is considered an asset.
  • Reliable transportation as location is not accessible by public transportation.
  • Solid understanding and belief in the importance of safety in the workplace, and the demonstrated ability to do his/her part to ensure that safety takes precedence.
  • Ability to maintain confidentiality.
